What is a hotel bill format?

A hotel bill format is a ready GST invoice layout for room stays, food and other hotel charges. It already carries your GSTIN, a SAC code for accommodation and food, the guest details, the taxable value of each charge, and the CGST, SGST or IGST split, so you only fill in the stay and the amount.

A stay at a hotel or a lodge is a taxable supply of services under GST, the same as any other business sale. The bill you hand a guest at checkout has to carry the same particulars as any tax invoice.

This page carries six ready files: two Excel workbooks, two Word documents and two PDFs. Each one lays out the same hotel bill, structured so room tariff, food and other charges sit as separate lines rather than one total.

Pick by what the front desk needs. Take Excel if you want the tax worked out for you. Take Word if you want to type over a layout and add your own terms. Take PDF if you want to print a stack and write bills by hand.

What must a hotel bill show?

A hotel bill must show your GSTIN and address, a consecutive bill number, the guest name and address, a SAC code for each charge, the taxable value, the place of supply, and the tax split as CGST and SGST or as IGST. Room tariff, food and any other service are separate lines, not one lump sum.

The particulars a tax invoice has to carry are set out in Rule 46 of the CGST Rules, and they apply to a hotel bill exactly as they apply to a shop bill.

Room tariff and food attract different GST rates, so keeping them on their own lines, rather than folding them into one figure, is what lets the correct tax land against each charge.

Most lines on a hotel bill are services, so they take a SAC code. If a line is a physical item, such as a minibar product or a gift shop sale, it takes an HSN code instead. The two share one column on the sheet.

The fields to fill in

  • Your hotel's name, address and GSTIN
  • A consecutive bill number, unique within the financial year
  • The bill date, and the check-in and check-out dates
  • The guest name and address, plus their GSTIN when the stay is billed to a business
  • A SAC code for each charge: room tariff, food, laundry or any other service
  • A description and the taxable value of each line
  • The place of supply, which for a hotel stay is normally where the hotel is located
  • The tax charged: CGST and SGST together, or IGST on its own, each with its rate and amount
  • A signature, or a digital signature, of the hotel or an authorised person

An illustration, not a real business. Both guest and hotel are in Maharashtra, so the tax splits into CGST and SGST rather than becoming IGST. Room tariff and food carry different GST rates, so each line's split is worked out on its own taxable value.

How do I fill a hotel bill in Excel?

The Excel hotel bill format is a working sheet, not a picture of one. Enter the room tariff, the number of nights, food and any other service as separate lines, and the taxable value, the tax and the grand total work themselves out. One cell sets whether the stay is intra-state or inter-state.

Open the file and fill in the header block once with your hotel name, address, GSTIN and state, then save it as your own master copy. From then on each bill is the guest name, the stay dates and the item lines.

The item table gives you ten lines. Use the first for room tariff, worked out as the nightly rate times the number of nights, and the rest for food, laundry, parking or any other charge, each with its own SAC code and GST rate.

The CGST, SGST and IGST columns are driven off the supply-type cell at the top, so you never charge both a state split and IGST on the same bill.

When should I use Word or PDF instead?

Use the Word or PDF hotel bill format when the front desk has no working till, or when a folio needs a line of terms a spreadsheet cell cannot hold. Both carry the same fields as the Excel sheet, but nothing recalculates, so the tax and the total are worked out and written in by hand.

Word suits a folio that needs a paragraph the Excel sheet has no room for: a note about an early checkout, a damage charge, or payment terms for a corporate account settled later.

PDF suits the front desk itself. Print a stack, number the pages in advance, and keep them at the counter for the day the booking system or the power is down.

Both carry the same fields as the Excel sheet. What they do not do is calculate. Work out the taxable value and the tax under each head yourself, and check the lines add up to the grand total before you hand the bill over.

Does a hotel always issue a tax invoice?

A registered hotel issues a tax invoice, with GST charged and split across CGST, SGST or IGST. A hotel that is not registered under GST issues a plain bill instead, with no GSTIN and no tax on it. Neither document changes because the guest is a tourist, a company booking, or a walk-in.

Only a hotel registered under GST charges GST and issues a tax invoice. An unregistered lodge issues a plain bill instead, with no GSTIN line and no tax on it.

Nothing about the guest changes which document applies. A business traveller, a tourist and a walk-in guest all get the same kind of bill from the same hotel.

If your hotel is not registered, remove the GSTIN line and the tax rows from these files before using them, or start from a plain bill instead.

Is a hotel bill different from a restaurant bill?

A hotel bill and a restaurant bill are both tax invoices, and the same format covers either one. The difference is only which lines sit on it: a hotel bill carries room tariff alongside food and service lines, while a stand-alone restaurant bill carries only food, drink and service lines and no room charge.

A guest staying at a hotel who also eats at its restaurant gets one bill, with room tariff and food both on it as separate lines.

A stand-alone restaurant, with no rooms, issues a bill with only food, drink and service lines on it, which is a narrower version of the same format.

Either way, the fields are the same: GSTIN, a SAC code per line, the taxable value and the tax split. What changes is only how many kinds of line the bill carries.

When does a written hotel bill stop being enough?

A written hotel bill cannot enforce a consecutive number across two shifts at the same desk, remember what a long-stay guest already owes, or turn a disputed charge into a credit note that carries the original bill number forward. Invoice Saathi does the tax, the numbering and the ledger, then prints or shares the bill.

A front desk with more than one shift is where a written number first breaks. Two people billing from two books, or one filling in for the other, is enough to issue the same bill number twice.

A ledger is the second thing paper cannot hold. It does not know what a long-stay corporate account already owes, and it does not know that last week's bill is the one a refund now has to be credited against.

The billing screen stays as plain as a till: the stay and the total. The tax split is worked out in the background and printed or shared on the finished bill.

FAQ

Hotel bill format questions

What is a hotel bill format?
A hotel bill format is a ready tax invoice layout for room stays, food and other hotel charges. It carries your GSTIN, a SAC code for each charge, the taxable value and the CGST, SGST or IGST split already laid out.
Does a hotel bill need a SAC code instead of an HSN code?
Mostly yes. A hotel stay is a service, so room tariff and food take a SAC code. A physical item sold alongside the stay, such as a minibar product, takes an HSN code instead.
Can one bill cover both the room and the restaurant?
Yes. A guest billed at checkout gets one bill with room tariff, food and any other charge on it as separate lines, each carrying its own SAC code and tax split.
What if my hotel is not registered under GST?
Remove the GSTIN line and the tax rows before using these files. An unregistered hotel must not charge GST or show a GSTIN on its bill.
Is this hotel bill format free to download?
Yes. All six files on this page are free, need no email address and no signup, and carry no watermark. Use them for your own billing and put your own hotel name on them.
Do room tariff and food attract the same GST rate?
Not necessarily. The two are billed under different SAC codes and can carry different rates, which is why this format keeps them on separate lines rather than one total.
