What is a GST invoice format in Excel?

A GST invoice format in Excel is a spreadsheet that already carries the fields a tax invoice needs: your GSTIN, the buyer GSTIN, a consecutive invoice number, HSN or SAC codes, the taxable value, and the CGST, SGST or IGST split, worked out by formula rather than by hand.

A plain invoice and a GST invoice look similar until you check the fields. A GST invoice has to carry your GSTIN, the place of supply and a tax split that a plain bill never needs, and those fields are not optional once you are registered.

Both workbooks on this page start from that requirement rather than adding it later. The GSTIN line, the HSN or SAC column and the supply-type cell are built into the sheet, so filling in a bill means filling in a form that is already correct.

What differs between the two workbooks is scale, not correctness. The full sheet carries a GST rate per line, for a bill that mixes rates. The simple sheet carries one rate for the whole invoice, for a counter that sells at a single rate all day.

How do I create a GST invoice in Excel, step by step?

Download the sheet, fill in your business name, address, GSTIN and state once, and save that as a master file. For each bill, open the master, save it under the invoice number, then enter the buyer, the place of supply and the item lines. The sheet works out the tax.

Treat the first fill-in as a one-time setup rather than part of billing. Your business details do not change bill to bill, so a master copy with them already entered saves you retyping the same five lines on every invoice.

From there, each invoice is a fresh copy of the master, saved under its own invoice number. Keeping one folder per financial year, with the files named by number, is what keeps a series consecutive and makes a gap in it obvious the moment one appears.

The steps, in order

What fields does a GST invoice need in Excel?

Rule 46 of the CGST Rules sets the particulars a tax invoice must carry: your GSTIN and address, a consecutive invoice number, the buyer GSTIN where registered, HSN or SAC per line, quantity, rate, taxable value, place of supply and the tax split. Both sheets on this page carry every one.

None of these fields is a matter of house style. A bill missing the place of supply, or missing the buyer GSTIN on a business sale, is a bill the buyer may not be able to claim input tax credit against, which is the complaint that arrives a quarter later.

The sheet lays every field out once in the header block, so filling in a bill is a matter of typing values into a form that already has the right shape.

The fields on the sheet

  • The buyer name and address, plus their GSTIN when registered
  • The HSN code for goods, or the SAC code for services, per line
  • Description, quantity and rate for each line

  • The tax split: CGST and SGST together, or IGST alone
  • Whether reverse charge applies
  • A signature block for the supplier

How does the sheet split CGST, SGST and IGST?

One supply-type cell decides the split. Set it to intra-state and a rate splits in half into CGST and SGST. Set it to inter-state and the same rate becomes IGST instead. The customer pays the same total either way; the tax just moves between the two heads.

Every tax cell on the sheet reads that one supply-type cell, so the two heads can never both be filled at once. That matters because a bill with CGST, SGST and IGST all carrying amounts is a bill somebody will have to reissue.

The round-off line is worth watching too. Tax at an odd rate on an odd taxable value lands on fractions of a paisa, so the sheet totals the exact figures first and then states the adjustment to the nearest rupee on its own line, rather than folding it quietly into the tax.

An illustration, not a real business. Both parties are in Maharashtra, so the 12% GST splits into CGST 6% and SGST 6% rather than becoming IGST.

Does it work for services, with SAC codes?

Yes. The HSN column on both sheets doubles as the SAC column: goods take an HSN code, services take a SAC code, and the rest of the row works the same either way. A single invoice can even mix goods and services, each carrying its own code.

Goods and services are classified differently under GST, but the invoice does not need two separate layouts for that. Quantity, rate, taxable value and the tax split behave identically whether the line is a product or a service.

What changes is only the code you type into that column and, for some services, the place of supply rule that decides where the tax is collected. A consultant billing a client in another state still fills in the same sheet, just with a SAC code and the client state as the place of supply.

When does a spreadsheet stop being enough for GST invoicing?

A spreadsheet cannot enforce a consecutive invoice number across two people billing at once, remember what a party already owes you, or turn a return into a credit note that carries the original invoice number and date. Numbering is usually the first thing that breaks. A folder of copied spreadsheets does not stop two people, or one person on two devices, from issuing the same invoice number twice, and once that happens the two bills share the only key that identifies either of them.

The ledger is the second thing a sheet cannot hold. It does not know what a party owes you, and it does not know that the bill you raised last month is the one a return now has to be credited against, carrying that invoice tax treatment forward rather than starting over.

Does the sheet calculate CGST, SGST and IGST automatically?
Yes. Each line multiplies quantity by rate for the taxable value and applies the GST rate to it, and one supply-type cell decides whether that tax shows as CGST plus SGST or as IGST. The round-off and grand total are formulas too.
Can I use this format for a service invoice with a SAC code?
Yes. The HSN column on both sheets takes a SAC code just as well, and everything else on the row works the same for a service line as for a line of goods.
What if I am not registered under GST?
Delete the GSTIN line and the tax rows before using either sheet. An unregistered seller must not charge GST or show a GSTIN. The item table, the totals and the layout still work on a bill with no tax on it.
