For play zones

Billing software for indoor play zones and kids play areas

A Saturday at a play zone is forty families at the counter, half of them with a pass they bought last month. The counter has to sell entry, socks and a party package in one bill, and know how many entries are left on that pass without relying on anyone's memory.

What you get

What it does at the play-zone counter

Entry, add-ons and parties on one bill

Weekday, weekend and unlimited entry, extra adults, socks and nameplates sit on the same tap-to-bill grid, so one family gets one bill however much they buy.

Prepaid passes that count themselves

Sell a pack of entries once, then draw it down visit by visit, two or three at a time when a family brings friends. Every draw is stamped on the bill that used it.

A loyalty card for regulars

Visits count toward a reward whether the family paid for entry or used a pass.

Expenses and the day's profit

Note rent, salaries and cleaning as they are paid, and the report shows what came in, what went out and what is left.

Udhaar and split payments

A school group paying half now, or a parent paying part by UPI and part in cash, is one bill with the balance tracked against their phone number.

What it does not do yet

  • No party booking calendar. Parties are billed as packages on the day; advance bookings still live in your diary or WhatsApp.
  • No session timer for timed play.
  • No waiver forms.

How should a play zone bill entry, socks and add-ons?

Put every priced thing on the counter grid as its own item: weekday entry, weekend entry, unlimited entry, extra adult, socks, nameplate, party packages. Then one family is one bill, however many things they buy, and the report can tell you which of them actually makes the money.

The mistake most play zones make is to keep the same product under several names. When "Kids entry", "Entry kids" and "Kids entry weekend" all exist, the report splits one product into three rows and nobody can say what entry brought in last month.

The Play centre preset starts you with a sensible list: entry by day type, extra adults, socks and party packages priced per child and per adult. Change the prices once, delete what you do not sell, and the grid stays that way.

How do you stop losing money on prepaid passes?

Give every pass a stored balance against the customer's phone number and draw it down on the bill, every visit. A pass that lives in a notebook or in a staff member's memory leaks: entries get let through without being counted, and nobody can prove how many are left.

Packs of entries are good business, because the money comes in before the visits do. They are also where play zones quietly lose money, because the second, third and ninth visits often happen on a busy afternoon when nobody writes anything down.

In Invoice Saathi a pass is sold once, as a pack, and each visit draws one or more entries from it at the counter. The remaining count shows on screen and on the bill, and every draw is stamped on the bill that used it, so when a parent says "we still have four left" the record answers the question.

What should a play zone owner check at the end of each day?

Three numbers: what came in, split by cash and UPI; what went out in expenses; and what is left. After that, the passes sold versus entries drawn, and any udhaar still open. If those five figures are right every night, the month takes care of itself.

Expenses are the part most counters skip. Rent, salaries, cleaning and snacks for the party room are entered as they are paid, so the report shows profit rather than just sales.

Owners who are not at the counter every day can open the same report on their own phone. On the Pro plan the counter device and the owner's phone see the same bills.

Does a play zone need GST registration?

A business that supplies services must register once its turnover crosses Rs 20 lakh in a financial year, or Rs 10 lakh in the special category states. Below that, a play zone can bill without GST, and Invoice Saathi's non-GST mode takes the tax fields off the bill entirely.

If you are registered, set the GST rate on each item once in Setup and every bill applies it. Which rate applies to your entry tickets and party packages is a question for your CA, because it depends on exactly what the ticket includes.

FAQ

Common questions

How do prepaid passes work?
You sell a pass as a pack of entries, say nine, against the customer's phone number. Each visit draws one or more entries, and the remaining count shows at the counter and on the bill, so staff never have to remember who has paid.
Can one bill have entry, socks and a birthday party?
Yes. Everything on the grid goes on one bill, including party packages priced per child and per adult. The customer gets one receipt and your report counts each item in its own category.
Is GST charged on play-zone entry?
Only if you are registered. Many small play zones are below the registration limit and bill without GST, which the app supports. If you are registered, ask your CA which rate applies to your entry and packages, then set it once per item in Setup.
What does it cost compared with play-zone software?
INR 5,000 a year including GST for the Pro plan, with no setup fee. Dedicated play-zone systems in India are listed at around INR 15,000. The free plan lets you test it on real bills first.
Will it keep working on a busy weekend if the Wi-Fi drops?
Yes. Bills save on the device first and sync later, so the queue at the counter keeps moving.

Try it on this weekend's queue

Set it up on the counter phone in twenty minutes and run real bills on the free plan. A busy play zone outgrows the free limit in a couple of days, which is when Pro makes sense.
