Bill book format, free download

Six ready bill book formats for Excel, Word and PDF, built to replace the printed carbon-copy pad. Every file already carries the fields a tax invoice has to show: GSTIN, a bill number, HSN or SAC per item, the taxable value, and the CGST, SGST or IGST split.

  • No email address, no signup, no watermark
  • The Excel sheets calculate the tax for you
  • Works as a GST bill book, or as a plain one with the tax rows removed

What is a bill book format?

A bill book format is a ready layout for the pad of bills a shop hands out every day, in Excel, Word or PDF instead of a printed carbon-copy book. It carries your GSTIN, a bill number, each item's HSN code, the taxable value, and the CGST, SGST or IGST split already in place.

A shop that bills customers every day used to tear a page out of a printed bill book, carbon paper and all. The format has not changed much: a header, a row per item, and a total at the bottom.

This page carries six ready files: two Excel workbooks, two Word documents and two PDFs. Each lays out the same bill book, built so the GST goes on it correctly when you charge it.

Pick by what your counter needs. Take Excel if you want the tax worked out for you. Take Word if you want to type over a layout. Take PDF if you want to print a stack and write bills by hand, the way the old carbon-copy book worked.

What fields must a bill book show?

A GST-registered bill book must show the seller's GSTIN and address, a consecutive bill number, the buyer's details where required, an HSN or SAC code per item, the taxable value, the place of supply, and the tax split as CGST and SGST or as IGST. A non-GST bill book skips the tax rows.

The particulars a tax invoice has to carry are set out in Rule 46 of the CGST Rules, and a bill book sold with GST on it has to carry the same particulars as any shop invoice.

Most lines on a general shop's bill book take an HSN code, since they are goods rather than services. A shop that also bills for fitting, repair or delivery charges a SAC code on that line instead.

A business not registered under GST uses the same page differently: drop the GSTIN line and the tax rows, and the same layout becomes a plain bill.

The fields to fill in

  • Your business name, address and GSTIN, where registered
  • A consecutive bill number, unique within the financial year
  • The bill date
  • The buyer's name and address, plus their GSTIN when they are registered
  • An HSN code for goods, or a SAC code for services, on each line
  • A description, quantity and rate for each line
  • The taxable value of each line
  • The place of supply
  • The tax charged: CGST and SGST together, or IGST on its own, each with its rate and amount
  • A signature, or a digital signature, of the seller or an authorised person

An illustration, not a real shop. The walk-in customer carries no GSTIN, which is normal for a counter sale; a bill to a GST-registered buyer would also carry their GSTIN on the header.

How does an Excel bill book format work?

An Excel bill book format is a working sheet, not a picture of one. Type each item as its own line with its HSN code, quantity and rate, and the taxable value, the tax and the grand total work themselves out. One cell switches the sheet between an intra-state and an inter-state sale.

Open the file and fill in the header block once, with your shop name, address, GSTIN and state, then save it as your own master copy. From then on each bill is just the item lines.

The item table gives you ten lines, enough for most counter sales. Use one line per item, each with its own HSN or SAC code and GST rate.

The CGST, SGST and IGST columns are driven off the supply-type cell at the top, so the sheet never charges both a state split and IGST on the same bill.

When should I use a Word or PDF bill book instead?

Use the Word or PDF bill book format when the counter has no working till, or a bill needs a line of terms a spreadsheet has no room for. Both carry the same fields as the Excel sheet, but nothing recalculates, so the tax and the total have to be worked out by hand.

Word suits a bill that needs a line the Excel sheet has no room for: a note on a return, a payment term, or a line for a buyer who pays on account rather than at the counter.

PDF suits the counter itself, the same job the printed carbon-copy bill book used to do. Print a stack, number the pages in advance, and keep them at the counter for the day the power or the system is down.

Neither file calculates. Work out the taxable value and the tax under each head yourself, and check that the lines add up to the grand total before you hand the bill over.

Does every bill book need GST on it?

Only a business registered under GST charges GST and issues a tax invoice from its bill book. An unregistered business issues a plain bill instead, with no GSTIN line and no tax on it. The same six files work either way; a non-GST shop just leaves the GSTIN line and the tax rows blank.

Whether a business charges GST depends on its own registration, not on what it sells or how it bills. A registered seller charges GST and shows it on the bill; an unregistered one does not.

The fields these files carry cover both cases. A GST-registered shop fills in every row. A shop that is not registered removes the GSTIN line and the tax rows, and keeps the rest.

What should never happen is a bill that shows a GSTIN without charging tax, or charges tax without a GSTIN on it. Either one is a bill a buyer cannot rely on.

How is a bill book format different from a GST bill format?

A bill book format and a GST bill format are the same tax invoice; the names describe two ways people search for it. Bill book is the shop-counter term for the pad of bills a business issues every day, GST bill format is the compliance term for the same document with GST charged on it.

Searchers reach for different words for the same thing. Somebody who grew up calling it a bill book searches that; somebody who learned the compliance term searches gst bill format.

This page and the hub format page link to the same six underlying files. What differs is only which question each page answers first: this one starts from the shop counter, the hub starts from the GST particulars.

An excel bill book format is the same workbook as the hub's Excel file, just reached from a different search. Download either one; they calculate the same tax the same way.

When does a paper bill book stop being enough?

Invoice Saathi is billing software for Indian businesses that raises compliant GST invoices and simple non-GST bills from one app, and works offline when the internet drops. A paper bill book cannot enforce a consecutive number across two counters, or turn a return into a credit note that still points back at the original bill.

A consecutive number is usually what breaks first. Two counters billing from two books, or one book carried over from last year by habit, is enough to issue the same bill number twice.

A ledger is the second thing paper cannot hold. It does not know what a regular customer already owes, and it does not know that last month's bill is the one a return now has to be credited against.

The billing screen stays as plain as the old counter pad: the items and the total. The tax split, the numbering and the ledger run in the background, and print or share on the finished bill.

FAQ

Bill book format questions

What is a bill book format?
A bill book format is a ready layout for the bills a shop issues every day, available in Excel, Word and PDF instead of a printed carbon-copy pad. It already carries the GSTIN, bill number and tax fields a tax invoice needs.
Is a bill book format the same as a GST bill format?
Yes. Both describe the same tax invoice; bill book is the shop-counter term and GST bill format is the compliance term. The files on this page and on the hub page are the same workbook.
Can I use this bill book format without GST?
Yes. Remove the GSTIN line and the tax rows, and the same layout becomes a plain, non-GST bill. Only a GST-registered business should keep those fields filled in.
Does the Excel bill book format calculate GST for me?
Yes. Enter the item, quantity, rate and GST rate, and the sheet works out the taxable value, the CGST, SGST or IGST, and the grand total.
How many items fit on one bill book page?
The full Excel, Word and PDF files carry ten item lines. The simple versions carry five lines and a single GST rate, for a shorter counter bill.
Is this bill book format free to download?
Yes. All six files are free, need no email address or signup, and carry no watermark. Use them for your own billing and put your own shop name on them.
