What is an invoice template in Word
An invoice template in Word is a ready bill layout you type over in a word processor. The header block, the item table and the tax rows are already laid out and formatted. Nothing recalculates, so you fill in the wording, the amounts and the totals yourself.
The two documents on this page are laid out as tax invoices. That means they carry the particulars Rule 46 of the CGST Rules asks a tax invoice to show, in the order a buyer expects to read them, with the tax rows sitting under the item table rather than squeezed into a corner of it.
What makes them Word files rather than spreadsheets is that every part of them is editable text. The heading, the column labels, the terms under the table and the signature block are all yours to change. Nothing is locked, and there is no formula to break by typing in the wrong cell.
That is the trade. A spreadsheet defends the arithmetic and resists your wording. A document does the opposite: it will let you write anything you like, and it will let you write a total that does not match the lines above it. Which of those two you want depends entirely on the kind of bill you raise.
How do you make an invoice in Word
Download one of the documents above, open it in Word, and type your business name, address and GSTIN into the header block once. Save that as your master copy. For each bill, take a fresh copy, fill in the buyer, the invoice number, the date and the item lines.
Doing the header once is the step people skip, and it is the step that saves the most time. Your own name, address, GSTIN and state do not change from bill to bill. Type them once, paste your logo into the space above them, then save the file somewhere you will find it again and never bill from it directly.
From then on every bill is a fresh copy of that master. Save each one under its own invoice number, in a folder for the financial year, rather than editing the same file over and over. A shop that reuses one document has exactly one bill on record, and it is always the most recent one.
The order to fill it in
- Open the downloaded document and type your business name, address, GSTIN and state
- Insert your logo in the header space above the name
- Save that file as your master copy, then close it
- For each bill, open the master and save a fresh copy under the invoice number
- Fill in the buyer name, address and GSTIN where they are registered
- Write the invoice number and the date, keeping the numbers running in order
- Set the place of supply, with the state name and its code
- Add each item: description, HSN or SAC, quantity, rate and GST rate
- Work out the taxable value, the tax under each head, the round off and the grand total
- Type the amount in words, then read it back against the grand total
- Delete the unused item rows so the printed bill does not carry empty lines
- Save as PDF, then print it or send it
Which fields does the Word invoice template carry
Both documents carry the particulars a tax invoice has to show: your name, address and GSTIN, a consecutive invoice number and its date, the buyer details, an HSN or SAC code and description on each line, the quantity, rate and taxable value, the place of supply, and the CGST, SGST or IGST charged.
The full document gives you ten item lines with a GST rate cell on each of them, so one bill can carry goods taxed at two different rates and still tie. The simple document gives you five lines and one rate for the whole bill, which is the right shape for a counter that sells at a single rate all day.
Two fields are worth naming because they are the two most often left off a homemade bill. The HSN or SAC code belongs on each line, since the code describes the item and not the invoice. The place of supply belongs once in the header, since one invoice has one place of supply and the whole tax split hangs on it.

An illustration, not a real business. Both parties are in Karnataka, so each line splits in half between CGST and SGST at its own rate: 9% each on the almirah and 6% each on the notebooks. The tax comes to 3,356.40, so the exact total is 22,876.40 and the round off line carries the 40 paise down to a whole rupee. In Word you write every one of those figures in yourself.
Word or Excel: which one should you use
Take Word when the wording matters more than the arithmetic: long descriptions, your own payment terms under the table, a logo in the header. Take Excel when the arithmetic matters more, because it works out the taxable value, the tax under each head and the grand total as you type.
Word suits a bill you raise now and then rather than all day. A one-off supply, a service with a description that runs to three lines, a bill you want to attach payment terms and a bank line to. In all of those the shape of the document is the work, and doing one set of sums by hand costs you nothing.
Excel suits the opposite case. Several lines, more than one rate, a bill going out every few days. There the sums are the work, and a sheet that recalculates the moment you change a quantity will save you more corrections than the editable wording was ever worth.
Pick by the bill you are raising
- A one-off bill with wording you want to control: the Word document

- Bills written out by hand at the counter: the printable PDF
- Not registered under GST: none of these as they stand, strip the tax rows first
How do you check the totals before you print
Word does no arithmetic, so three things are worth reading back. That each line taxable value really is quantity times rate. That CGST and SGST are each half the rate you charged, and that IGST is not filled in as well. And that the amount in words matches the grand total.
A Word invoice prints whatever you typed. It has no opinion about whether the column adds up, and a bill that does not add up is one your customer will query and you will have to raise again.
The mistake that shows up most is the tax split, because it is the one that needs halving in your head at the end of a long day. On a supply inside your own state the rate splits between CGST and SGST, so 18% is 9% under each head, not 18% under each. On a supply to another state the whole rate goes in the IGST row instead, and the CGST and SGST rows stay empty.
Never fill all three. A bill showing CGST, SGST and IGST together is a bill someone will have to reissue, and on a document there is nothing stopping you from producing one.
The amount in words is worth a second look too. It is the line a bank or a buyer reads when the figures are smudged, so it has to say the same thing the grand total says. Read it out against the number before you save the PDF.
How do you save the Word invoice as a PDF
Use Save as or Export in Word and pick PDF. Send the PDF rather than the document, because a Word file arrives editable and reflows on a machine that lacks your fonts. The template is already set to A4, so the bill lands on one page.
Sending the document itself is the habit worth breaking. It arrives on your customer side as something they can change, which is an awkward thing to have to argue about later, and it may not even look the same when it opens. A PDF is fixed, it prints the same everywhere, and it attaches to a message the same way.
Before you export, delete the item rows you did not use. Empty ruled lines on a printed bill look like something went missing, and they push the totals down the page. The table is an ordinary Word table, so removing a row is a right click.
Can you use the Word invoice template without GST
Not as it stands. An unregistered seller must not charge GST or show a GSTIN, so delete the GSTIN line, the tax columns and the tax rows before billing with it. Everything else on the document, the item table, the totals and the amount in words, still works.
Charging tax you are not registered to collect is the one mistake on this page that costs real money, so it is worth doing the deletions properly rather than leaving the rows in and putting zero against them. A bill with a blank GSTIN and an empty CGST row still looks like a tax invoice to whoever receives it.
What you are left with is a plain bill: your details, the buyer, the items with quantities and rates, a total and the amount in words. That is a complete document. It is not a tax invoice and it is not pretending to be one.
There is a third case between the two. A registered business supplying exempt goods, or one paying tax under the composition scheme, issues a bill of supply rather than a tax invoice. A bill of supply carries the GSTIN but shows no tax and no tax split, so it is the tax columns that come out and the GSTIN line that stays.
When a Word invoice template stops being enough

Numbering is usually the first thing to go, and it goes quietly. A GST invoice number has to run consecutively within its series for the financial year, and a folder of copied documents cannot enforce that. Two people billing at once is all it takes to issue the same number twice.
The arithmetic is the second. Everything this page asks you to check by hand is something the app has already done by the time the bill is on screen: the taxable value on each line, the split between the heads, the round off, the grand total and the amount in words.
The third is what a party owes you. A document records one bill and knows nothing about the four before it, so how much is still pending from a customer lives in your head or in a second file that disagrees with the first. A return makes that worse: a refund on a GST invoice is a credit note carrying the original invoice number and date on its face, not an edit to the bill you already issued.
The billing screen itself stays as plain as the document: items and a total. The tax settings are entered once in Setup, and the breakup appears on the printed bill.
